Exhibition timelines in this market are consistently tight, and the gap between a well-planned stand and a stressful last-minute scramble almost always comes down to one thing: how early the contractor is brought in.

The Contractor's Checklist — What We Need from You

• Floor plan and allocated plot dimensions — provided by the event organiser
• Brand guidelines and visual references — logos, colour palette, reference images
• Functional brief — product display, meeting space, storage, AV screens, lighting
• Build and breakdown windows — event venues assign specific hours for both
• Electrical allocation — the organiser specifies how many amps the stand receives
• Height restrictions — maximum stand height varies by venue and stand type

Timeline: How Far in Advance Should You Brief Your Contractor?

For stands up to 36 sqm: minimum four weeks before build day, six is comfortable. For larger or custom-fabricated stands over 50 sqm: eight to twelve weeks. Any stand requiring bespoke CNC-routed elements, printed graphics or specialist finishes needs the longest lead time — the fabrication can't start until the design is signed off, and the design can't start until the brief is complete.
